Annual Meeting ~ 8-18-12

President Joe Claflin welcomed the Diamondhead membership to the annual meeting.  Pastor Mike Fikes from Diamondhead Community Church asked a blessing over the meeting. 
A motion was made to accept the minutes of last year’s board meeting ‘as printed’.  This motion was seconded and approved unanimously.
President Claflin announced the resignations of General Manager Sarah Dawson and 19th Hole Manager Wendy Bowen.  Joe assured the membership that this situation will be taken care of in a timely and appropriate manner.
Kerry Crowe, Kelly Jaeger, Kathie DeVilibiss, Kelly Kendrick and dozens of volunteers were highly appreciated for their accomplishment of refurbishing the Kiddie Koral.
The Beautification Committee was commended for the sod that was placed in the front of the Club House.  Judy Thye explained that the water that has been used to water this new lawn is lake water.  This project was completely funded by the Beautification Committee.
The new PA System used during the meeting was purchased by the Lion’s Club.  This system will have music and DVD capabilities.  Many thanks go out to the generosity and hard working efforts of the Lion’s Club, through BINGO games that are held on Saturdays, twice a month.
Eight Camera Monitors have been installed inside and outside areas of the Club House.  Chief Joel Tyner was thanked for increasing the security of Diamondhead.
Eddie Gilbreth received accolades for keeping our golf course green throughout this hot dry summer… starting May 16th !  
Some of the issues that will be ‘passed on’ to the New Board of Directors will be:
·         Capital Improvement Fund
·         Code of Ethics for Board Members
·         POS (Point of Sale) System ~ will increase efficiency of the 19th Hole.
Treasurer’s Report for the 12 months ended March 31, 2012 was passed out and read by John Porter.  Please see post with this title

  • Total Operating Expenses ………...1,438,227.00
  • Net Income from Operations ……….35,535.00
  • Less Capital Expenditures…………(164,146.00)
  • Net Loss from all Activities ………(128,611.00)
“Roads and Culverts are old and needing replacement. We are working on profitability in the 19th Hole.  We hope that the POS system will help us with this issue.”
*John Porter introduced the auditor from the firm Crass & Smith, Mr. John Pratt, CPA.   “It will be a week to 10 days before we are done.  There will be a letter of recommendations submitted with the audit report.  Anyone is welcome to call me if you have any questions or concerns.”

*Chief Joel Tyner announced the forming of a Diamondhead Emergency Response Team.  With this team of at least 10 individuals or more, we will be equipped to take care of emergency situations that may occur.  There is also the possibility of funding.
*Director Ray Massey introduced the “Person of the Year” for 2012.  The list of individuals who have won this title for the past 5 years are:
  • Max English
  • DeDe Ott
  • Sue Pelt
  • Bob Jones
  • Dean Hartwell
This year’s Person of the Year is ~ Bill Milligan.
*Bob Jones was recognized for his work on the Nominating Committee.

*Secretary Jack Watson announced the results of the election process, noting that there were several ballots that were not received by members of the community.  1085 ballots were mailed out, 419 ballots were sent back.  Results are:
Three year term:  Joe Claflin, Tom Moore & John Porter
Two year term:    Diane Porterfield
One year term:     Suzie Combs
*President Claflin thanked the out-going board members Dan Munroe, Ray Massey and Keith Harrison for their service to the community.

*Pastor Mike Fikes led the new Board Members in being sworn into office.
The new Board retired to the Library for the election of officers.

*Fire Chief Matt Simpson thanked all of Diamondhead for following the rules regarding the Burn Ban during this summer, including the denial of Fire Works for the 4th of July.  No fires in Diamondhead!  Diamondhead has been a part of “Fire Wise” program for a number of years.  Matt updated the community on the status of the fire department and the great job they are doing!

*The Board returned from Executive Session.  President Joe Claflin thanked Matt for all the hard work that he and his crew do for our community.

*Joe requested that interested & energetic people sign up for the various committees. !!!
*Appointment of the 9th Board member:  Anyone interested in becoming a member of the Board should submit your name & a short resume to the POA office by the first of September.  This ninth position on the board is for 1 year.  The Board will review these resumes and select this next Board member.

*Max English announced that he has been attending these Annual meetings since 1975.

*It was also announced that Dean Hartwell is currently in the hospital due to a fall and has broken his hip.

*Secretary Faye Taylor announced that she is writing the history of Diamondhead.  She is looking for pictures of the petting zoo that was once here. …or any other pictures that this community would like to share.

*Sharon Perisho requested that members of the community be allowed to be on the Ethics Committee.  “… Diane Porterfield should not have attended the (Wednesday’s Board) meeting….”  President Joe Claflin stated that no vote was taken at that meeting.  It was a means of informing the Board members of the recent resignations of the GM and the 19th Hole manager.

Director Jack Watson moved to adjourn the meeting.  Meeting adjourned.
