Board Meeting - 7-22-10

Board Meeting began at 7pm with President Massey asking for a moment of silent reflection.
The Board approved the June 24, 2010 minutes.

Tresurer's Report - Terry Shipp read his Financial Highlights, which will be posted separately from the notes.
Some of his comments:

• 28 lots have been turned back to the POA. 5 of these lots are common property lots that are used by the community. 23 lots are turned over to Diamondhead Reality at $300.00 each.

• Golf Membership stands at 86. Terry Shipp; “I think the lesson we can learn here and try to overcome is … the more we raise the price the less revenues we have.

Treasurer’s Report was approved as read.

New Business

• The lease is up for 6 golf carts. Todd Belz made a request to purchase these carts at $1,500.00 each, for a total of $9,000.00. This motion was made by Tom Lockette and seconded by Tom Wright. Passed unanimously.
• Someone in our community, who wishes to remain anonymous, has graciously provided artwork to display in our Country Club. A motion was made and seconded to accept this gift. Motion passed unanimously.
• Frank Pohlkamp explained that the Board has their first home foreclosure. “This may be the first of many, so, we better learn how to deal with this kind of thing.”

President Massey asked the members of the community to stay while the Board took a few minutes to adjourn to Executive Session.

Board Meeting re-convened. President Massey read the following letter:

Dear Mr. Massey,

Please accept this letter as my resignation as General Manager of the Diamondhead Property Owners Association. It has been a genuine pleasure working for Diamondhead Board of Directors during these past three years.

If I may be of any assistance in the training of my replacement, please know that I will gladly make myself available to this effort.

Thank you again for allowing me to serve as Diamondhead POA General Manager.

Family Fun Center - Vote

The Special Board meeting was held tonight at the Club House at 7pm. 

Ray Massey, Terry Shipp, Mary Pracht, Tom Wright, Jim Hannon, Charles Wood, Tom Lockette, and Frank Pohlkamp were present.  Betts Windsor was absent.

The Family Fun Center contract was voted on without being read to the membership, or copies being passed out.  The Vote was passed 5-2 with Charles Wood and Mary Pracht voting NO.

Complete notes of this meeting will be posted tomorrow afternoon.

Just wanted to let you know the Board is still working on the contract for the new Hotel/Condo Fun Center project and it will not be voted on this Thursday. We will have a special Board Meeting next Thursday specifically for the HotelCondo.

These are the Notes from the Town Meeting as viewed by Diane Porterfield

7pm - Terry Shipp giving the Treasure’s Report opened the meeting. I will post a copy of his report to go along with these notes. His primary focus seemed to be on the number of delinquent lots. Noting that out of the 1201 billed lots (&1/2 lots) 602 are delinquent by at least one month, or 50%.

Jim Hartford Fishing Derby -- April 23

The Lions Club had a good day!  Please look for the full details of this terrific event in the next issue of the FOCUS !  Virginia Sanders will display pictures of the children with their trophies!

     The Diamondhead Lions Club is honored to host the 22nd annual Jim Hartford Fishing Derby.  The Arkansas Game and Fish commission's Aquatic Resources Education Program helps to sponsor fishing derbies all over the state.  Diamondhead has been part of this program for many years because of the volunteerism of the Diamondhead Community. 
     The Annual Fishing Derby draws help from practically every member of the POA staff.  This includes our general manager-Todd, golf course manager-Eddie,  chief of police-Pat, and all the many members of their teams.  All the volunteers, as well as those faithful Lions, are to be credited with keepiong the Derby a wonderful annual event for many Special Education students from local area schools.  This year we will have students from Lakeside, Langston, and Malvern schools.  We are expecting 60 young people, along with their teachers, counselors, aides, bus drivers and other school officials. 
     The students will begin by fishing in Diamondhead Pond near the front gate at 10 am.  The AGFC will be stocking the pond a few days before this event.  For lunch-- they will travel to the pavilion and enjoy a lunch and several gifts.  Next, it is on to the Kiddy Correl for play time.  Smokey Bear will make an appearance on a Lake Hamilton Fire Department fire truck.
      A LIFENET ambulance, with a first-responder crew, will be on hand as part of a static display and actual safety backup, should medical assistance be necessary.
     The Lake Hamilton Fire Department, in conjuuction with the Arkansas Forestry Commission, will have a Single Engine Air Tanker (SEAT or "Fire Bomber") make a low fly-over to emphasize our community FireWise program.   We also plan to have a Medical Evacuation Helicopter that will land right in the parking lot of the Country Club. 
     We are pleased to have sponsors from Malvern McDonalds, Price-Cutters of Hot Springs, and Coca-Cola of Hot Springs.  They are all excellent corporate neighbors.
     Please drop by the Pond between 10--> 11:30am to see some great kids catching some really nice fish.  Some of these young folks will be experiencing fishing for the first time in thier lives.  Come help them celebrate a major event.    Jim Willis, Lions Club President

Golf Committee Minutes for March, 2010

Committee members present for the March 3, 2010 meeting were Ron Perisho, Betts Winsor (Board Liaison), Betty Locke, Jack Watson, Rush Chappell, Betty Buff, Jim Ryan, and Bill Donnelly. Todd Belz and Ed Gilbreath were present. A quorum was present.

A motion was made and seconded to approve the February minutes.

Standing Committee Reports:

Firewood: Jim Ryan reported that there is about $500 in the account. We are behind in orders. We have committed to 3 cords plus 2 or 3 special orders if we can accommodate them.

Adopt-a-Hole Program: Ron had nothing to report.

Events: There was little to report as no one is presently chairing this subcommittee. The Guys and Dolls tournament will be decided on at the next meeting. We need some sort of compromise on the requirement for a GHIN index to have the tournament. The Swap and Shop will be held in conjunction with the Spring Fling on May 1st.

Course Superintendent Report: Pre-emergent work is completed. The new traps on 18 are finished. There are a few trees left to remove on #9 and then we will be ready for cart path repair. Cart paths are deteriorating especially with the cold winter. The culvert on #17 should be done by next month. Trees need to be removed on #1 and #4. The trap on #16 was discussed. It will be retained as a trap and not filled in (too expensive). The cart path on #5 needs work. Eddie needs volunteer help. He will be losing one staff member due to budget restraints.

General Manager and Golf Pro Report: The golf shop will move into the same building as the POA office as soon as the carpeting is replaced. GHIN fees went up to $20.00. The bid on bridge replacement on #4 was $8,000 from Bill Milligan. The Board will most likely approve that expenditure.

Old Business: Jim Ryan has some old out-of-bounds stakes he is working on.

New Business: There was a discussion of golf finances. Ron is conducting a workshop on golf revenues starting tomorrow and additional meetings will be held in March and early April. Saturday morning tournaments were discussed. We have 6 booked already this year and this cuts out member play. Todd also explained how we need to be careful in booking tournaments as they can actually cause us to loss more potential income than they generate. We also discussed using tee times on Tuesday for ladies play, during MGA events and on Fridays for the Scotch Scramble. No decisions were made but this and tournament play will be discussed by the Golf Revenue Working Group in conjunction with the Golf Committee before the next Golf Committee meeting.
A motion was made, seconded and approved to close the meeting at 10:15 am.
