Town meeting ~ 3-21-13

President Suzzi Combs opened the Town meeting by announcing that all Department managers will be attending the monthly Town meetings with the purpose of keeping the lines of communication open between management and the community.  GM Buddy Hudson presented his plan for total transparency and introduced each of the members of his management team:

  • 19th Hole ~ Rebecca Rickels:  expressed her appreciation for the hard work from her crew.  Last week Suzzi Combs spent several hours / days assisting in the “spring cleaning” of the kitchen and dinning areas.  A new commercial vacuum has been provided for the Banquet Room and Bar area.  The Social Committee supplied the funds for a new pantry that has been installed.  Rebecca ‘loves’ her job and the many ‘wonderful’ members of the community. Mike McFarlin, Kevin Cooper, Bob Jones, & ‘Josh’ were thanked for jobs well done.
  • POA Office ~ Angela Coldewey:  thanked Tom Moore and John Porter for all the time and effort that has gone in to the financials these past few months.  All the POA maintenance fees / property dues have been mailed out and funds are being received.  A new computer system is desperately needed.
  • Golf Course ~ Eddie Gilbreath:  thanked the community for the many years of opportunity to serve Diamondhead in the various areas of maintenance; golf course, pool, roads, Club House, common areas, & general repairs.  Immediate "Storm" needs were met by volunteers throughout the community.  Eddie’s crew of five (5) began in the hardest hit areas of DH and then moved on to ‘blocks’ or sections of the community.  Most of Diamondhead has been cleared of the downed trees and debris.  Spring has arrived and Eddie’s crew will be needed on the golf course.  There are still more tree limbs to be removed from the road-sides à a volunteer crew is being asked to finish this project.  Please call the POA office to sign up as a volunteer :  262-4470
  • Police Department ~ Joel Tyner:  An update for the months of Jan. & Feb. regarding “Patrol Calls” was passed out to all DH members in attendance at the Town meeting.  Click on the picture to view.  Joel also indicated that the incidents have gone up for the month of March; 34 calls

 
                                  

Sometime this year there will be an update to the security gate cards that have been distributed to Diamondhead residents.  More details will be forthcoming.
     Lyn Noffsinger will be managing the pool this summer.

Committee Reports

By-Laws Committee ~ John Cummings:  John asked each of the Board members if they had reviewed the suggested By-Law revisions as provided by the Ad-hock committee instituted by Suzzi Combs for this purpose.  All Board members answered ‘yes’.  These By-Laws changes can be reviewed by the membership by clicking on this link:  http://diamondheadcommitteereport.blogspot.com/p/bill-of-assurance.html 

Long Term Planning Committee ~ John Porter:  A survey will be going out to the membership regarding long range desires of the property owners.  A chairman is needed for this committee. 

Nominating Committee ~ Rick Noffsinger:  April 15th is the deadline for Board candidates to submit their names to the POA office or any Board member.  A candidate must be a member in ‘good standing’ for one year prior to April 15th.  The three Board members that will have served a ‘3 year term’ are:  Jack Watson, Diane Jones, and Suzzi Combs.
Candidates may pick up the Bill of Assurance, By-Laws & Code of Ethics at the Front office.

 Wild Life Committee ~ Mike MacFarlane:  3 coyotes &  9 deer killed.  David White & the Wild Life Committee paid for the labor and parts to repair the electrical needs for the Tennis / Basketball Courts.  Question:  How many coyotes are in Diamondhead?  Answer:  50-60 that come in from the State Park.  Diane Jones strongly urged all pet owners obtain rabies vaccines for their animals.

The need for security gate cards was discussed in detail with explanations for this process given by Chief Joel Tyner.  Cards will be re-issued to residents at a future date to be determined.

Community Standards Committee ~ Diane Porterfield:  Last January the committee resigned due to lack of support from the Front Office.  The members of the Standards Committee have been asked to continue their service to the community.  GM Buddy Hudson has promised to support the committee in our efforts to uphold the Rules & Regulations regarding property standards.  It is also apparent that another member who lives in another area of Diamondhead be added to this committee.  Please consider adding your voice to the Community Standards Committee.  Call Diane Porterfield @ 262-5956 or email: adianerdh@att.net

Beautification Committee ~ Faye Taylor:  Pancake Breakfast is scheduled for this Saturday, March 23rd. 

Lion’s Club ~ Faye Taylor: The directional signs have been placed on the "Diamondhead Police Department" building, and in front of the Club House.  All provided by the Lion's Club.

Golf Committee ~ DeOtis Cotton:  The golf committee has been revising their proposal for golf membership dues.  This revision will be available at April’s Agenda meeting scheduled for the 2nd Thursday of the month.

Finance Committee ~ Frank Pohlkamp: 

  • $150,000 for capital improvement expenditure (3-13-13 meeting)
The following motions and recommendations were made and passed at the 3-20-13 meeting:

  • Motion to recommend to the Board to set up an Ad Hoc committee, consisting of Finance Committee Members Mary Gage and Jim McWilliams, for the purpose of reviewing the POS (Point of Sale) usage, training and setting up report system for tracking sales at the 19th Hole.
  • Motion to recommend the Board set aside $25,000 in a separate account for Emergency Contingency Funds.
  • Motion to recommend the Board require bids be taken on all of the POA insurance policies with a 60 day window to receive such bids.  Suzzi Combs asked Mary Gage to head this effort.
  • Motion for Board to accept budget as put together on information available at this time and to re-visit budget in three (3) to six (6) months.

Youth Committee ~ Kathie DeVilbiss:  Community Yard Sale – April 26, 27 & 28 – Now accepting donations.  A request was made for items and temporary storage facility for those items. *TV and exercise equipment ‘do not sell’ - Please do not donate.  Dumpsters will be available during this time for Spring cleaning.

Computer System ~ Suzzi Combs:  Many calls were received regarding the posting of the computer system bids to the Blog.  Each of the four consultants ‘clarified’ their proposal and other members of the community offered their suggestions.  A decision will be made very soon due to the urgent need of a computer system to be in good working order.

New Business

Information Update Cards ~ Suzzi Combs:  Information cards will be added to the Election Ballots that will go out July 1st.  These card will ask each property owner of Diamondhead for their contact information; cell phone number, email address, etc.  This information will update the POA records and better enable good communication with the DPOA membership.  This process will allow for an Internet Newsletter to be accessible to all members.  Those who wish to have this web-based “Focus” delivered by conventional post-office delivery system may indicate this desire on the Information cards.

Google Calendar ~ Suzzi Combs:  A Google calendar will be used to better coordinate dates for staff needs, POA activities, and special functions.  This will be available for all to stay informed.
