Communication – Constant Contact ~ Suzie Combs:  In an attempt to meet the growing need for open communication between Management and DPOA Membership, an email communication system, Constant Contact, has been researched.  This system will allow the management to send accurate and timely messages via email to update the membership.  The cost involved will be per email address with unlimited email messages available.  Suzie stated that approximately 500 accurate email addresses are currently on file in the POA Office.

Sunday Golf Trail Event:  Discussion regarding the possibility of non-golfers enjoying the use of golf trails included several ideas.  This topic will be open for more ideas during the Town Meeting.

Front Gate is open 24 / 7.  Security payroll has greatly increased.  Currently the finance committee is questioning the financial feasibility.  Why did POA members purchase gate cards?

Tree Removal:  A tree company will be removing large trees from the Old County Club area on Friday, January 17, 2014.  If any DH Resident would like to use this tree service, please call the Front office à this will help to cut the cost to the DPOA.

Country Club Policy & Procedures – Mary Pracht:  A ‘first draft’ was presented regarding changes in the management / rental fees / costs involved in the use of DH facilities.  Some of these areas are:
  • Cancelation fees
  • Reservations
    • This will now be mandatory for any & all groups or individuals wanting to use any rooms (cards, BINGO, Quilting, etc).
  • Sounds system deposit
  • Pavilion reservations needed
  • Linen availability / rental fee
Facility Hours:  Country Club will be open on Sunday 7am-7pm
Country Club will be closed on Monday until the “time change’.
                          Tuesday à Saturday 7am – 11pm

Finance Committee – John Porter:  Finance Committee met last Wednesday to begin the Budget process.  Currently revenue is 1.4 million with expenditures of 1.480 million.  “We are about $80,000.00 in the hole”.  This revenue is based on 630 homes + 570 lots.
We will meet again next Wednesday to discuss budget cuts;  “The big one being the Security department.”  Finance Committee Notes

South Side Culvert is washed out at Possum Run.  Riviera Utilities and DPOA Road Committee will be looking into this situation.  “Will be an expensive situation” John Cummings.

A Private Session was called at 8:25. for ‘Personnel Reasons’.  Agenda meeting began again about 10 minutes later.

DRC = Diamondhead Resort Community is selling Diamondhead to a new Developer.
Asking price is $8 million.

Security Committee – Ken Benck:  2 police car units have become available for the cost of $20,000.  One unit has 80,000 miles….the other is ‘low mileage’.  The Board expressed the desperate need for these new vehicles.  Diane Jones asked if this expense could be financed. à Possible use of the Contingency fund for this purpose. (???)
Bullet Proof Vest to be purchased with the possible financial aid of the Arkansas Chief of Police Association.   $500.00 +
The moving of the Police Department across the street to the ‘Deli’ area was discussed with more information requested regarding utility costs, rental fees, set-up expense, and manning of the current Police Department building with 1 full time employee à for an information source.

Mary Pracht brought a request from the Finance Committee to use photo sensor timers on the Front Gate & POA office lighting system.
Marque at the Front Gate needs to be current with its information.
Today the Marque read “Be courteous, turn lights off at the Front Gate”.  I asked about the purpose of this message and was told that the Gate personnel can not see the sticker on the car’s window when the lights are on.

Law Suite Cases (2) will be explained to the Town Meeting next Thursday,

Beautification Committee – Faye Taylor:  Made a request for a $6,700.00 sprinkler system for the Country Club landscape.  Consensus from the Board: police cars are more important at this time.   The Board suggested a Fund raiser by the Beautification Committee.
