Board Agenda meeting: September 13, 2012

The following items were brought before the POA Board of Directors during last night’s Agenda meeting.  These items will be discussed at next Thursday’s Town meeting:

  1. Diane Jones was sworn in as the 9th member of the Board.
  2. Kevin Mosley was introduced as the 19th Hole manager.  Kevin will be sending the weekly specials out in email form for all who are interested.  Simply give Kevin your email address.
  3. Tom Moore explained that the Audit Firm of Crass & Smith has not returned his phone calls.  No new information.
  4. Capital Improvement Fund status:  John Porter has met with Attorney Jonathon Jones.  Copies will be available at the Town meeting.  It will take a 2/3 vote for the Board to take money out of this fund for anything other than capital improvements.
  5. Ethics Statement – a committee will be established for this effort.
  6. President Joe Claflin announced that the Liaisons have been chosen for the various committees.  These will be announced at the Town meeting.  Roads Committee Chairman will be Bill Milligan.  Treasurer Tom Moore suggested all committees submit minutes to the President.
  7. POS – “Point of Sale” system has been installed in the 19th Hole.  Training is underway.
  8. Security Committee Request:  Police Vehicle, Computer, Generator (Chief Joel Tyner will submit a price list).  Referred to Finance Committee.
  9. 6 Video Cameras are needed and requested from Chief Tyner.
  10. Contract bids are being requested to repair the Air Conditioning Units.  Contractors did not install these correctly.  The Club house building had fire code issues. 
  11. Shirts for the 19th Hole employees have been ordered.  They are red & white in color.  The manager’s shirt will have a collar.
  12. Security Committee: to develop Policies and Procedures for the Club House and 19th Hole activities which will be submitted to the Board for modification and approval.
  13. Pebble Beach Gate:  Donnie Gage has our “old main gate”, which was replaced by insurance money.  It is in workable condition.  He will give this to us “free” and could be a “card opened gate” at the Pebble Beach entrance.  This will be discussed.
  14. A property owner who has filed for Bankruptcy has filed a complaint against the POA.
 
Suzie Combs thanked Joe Claflin for his compassion in allowing Doc Norwood to visit his friends on the golf course last Saturday, September 8th.  Doc is in poor health at this time.  Please keep him in your prayers. 

Next Wednesday, 9-19-12, the Board will review the GM applications in Executive Session.  We will also be selecting a trustee for the 401K program.

Welcoming Committee explained their process of giving welcome packets to new residents of Diamondhead.  They are requesting a 19th Hole - $10.00 coupon / certificate to add to their ‘welcome packet’.

More items to be discussed:

  1. Youth Committee / Children’s room
  2. Library is still being abused / book jackets removed, throwing books to the top shelves.
  3. By-Laws Committee
  4. Front Gate Fountain repairs
  5. Attorney update on all court cases
  6. Beautification Committee is requesting volunteers
  7. Tennis & Basketball resurfacing and gate locks
  8. Fire Department Vote(s)
  9. Treasurer:  2nd half of year dues collections are lagging behind.
  10. Nominating Committee for next year.
  11. Lots owned by DRC along Hwy 171 / West Ridge needs to be mowed.
Suzie Combs has a resolution regarding Board candidates who have resigned early or been removed from the Board.  These members would no longer be allowed to become Board candidates again.
